Your work. Your records.

Human Resources Specialist Workplace Records

Human resources specialists have access to sensitive records as part of their jobs, but an employment concern about their own treatment does not make that entire archive a personal record set. Begin with your assignment, your own employment documents and a dated account of the instruction or decision you question.

What to organize first

  1. Personal employment file

Gather your own offer, role description, evaluation and permitted correspondence about the employment decision at issue.

  2. Instruction timeline

Record who assigned the HR task, the concern you raised and the dated response without employee identifiers.

  3. Approval structure

List who could approve, revise or reject your recommendation and whether that authority changed during the relevant period.

Start with the work you actually do

May 2025 wage estimates by state

Compare your pay records with published BLS estimates for Human Resources Specialists (SOC 13-1071). These describe an occupation across employers. They are not a required pay rate, an overtime calculation, or evidence of discrimination or unpaid wages.

Select your work state to see its published pay range. No personal pay information is requested or sent.

The 25th and 75th percentiles mark the middle half of the estimated wage distribution; the median is its midpoint. Actual pay can differ with experience, employer, location and duties. Hourly and annual figures are shown as published, without converting one into the other.

“Not published” preserves unavailable or suppressed source cells. “Above reporting limit” preserves a top-coded source value without inventing a number. A missing state estimate does not establish service eligibility. The data describe wage and salary employment; they do not measure self-employment income.

Separate your concern from the case you handled

Describe your assigned role in recruitment, an employee-relations matter or a policy project without identifying the affected employee or applicant. Note who directed your work, the deadline and any disagreement about the instruction. Keep a distinction between the underlying matter and a later change to your own responsibilities, evaluation or employment.

Explain policy and approval routes

Identify the policy version or process you were expected to administer, along with the role authorized to approve exceptions. Record when you sought clarification and the response received. Do not assume that explaining a policy meant you controlled the decision. Concrete examples help a reviewer understand the difference between administrative processing and decision-making authority.

Respect the boundaries of HR access

Do not export personnel databases, applicant materials, investigations, medical records or attorney communications. Access granted for HR duties should not be used to investigate your own dispute. Preserve your own permitted employment correspondence and describe relevant restricted records by category and custodian. Ask how potentially privileged or confidential material should be handled before sharing it.

Choose your next step

Review the workplace retaliation guide, unpaid wages guide, or discrimination guide if those concerns fit your experience. A job title alone does not establish a claim.
